Wedding Bartending Checklist for Central Texas Events
A complete checklist to help Central Texas couples plan their wedding bar — from choosing a bartender to designing the drink menu.
Your Wedding Bar Deserves a Plan
The bar is one of the most popular spots at any wedding reception. Getting it right means happier guests, smoother service, and a more memorable evening. Here's a practical checklist to help you plan your wedding bartending service in Central Texas.
3–6 Months Before the Wedding
- •Book your bartending service. Popular dates in Central Texas (especially spring and fall) fill up fast. Lock in your bartender early.
- •Decide on bar style. Open bar, limited menu, beer and wine only, or a full cocktail menu? Each option affects your budget and planning.
- •Check venue rules. Some venues have their own bar policies, alcohol restrictions, or licensing requirements. Make sure your bartending service can work within those guidelines.
- •Discuss guest count. Your bartender needs to know the expected headcount to staff appropriately and recommend supply quantities.
1–2 Months Before
- •Design your drink menu. This is where the fun starts. Work with your bartender to create signature cocktails, choose a color palette for drinks, and finalize the full menu.
- •Plan for non-drinkers. Include at least one or two mocktail options so every guest has something special.
- •Confirm logistics. Finalize the timeline, setup location, power needs, and any coordination with your planner or caterer.
- •Purchase alcohol. Your bartender can provide a shopping list based on your final menu and guest count.
Week Of
- •Confirm timing. Make sure your bartender knows the exact setup time, service start, last call, and breakdown schedule.
- •Prepare the space. Clear the area where the bar will be set up. If it's outdoors, consider shade or cover options.
- •Communicate with your planner. Make sure your wedding coordinator and bartender are connected for day-of logistics.
Day Of
- •Let the bartender handle it. A professional service arrives early, sets up, and manages the bar from start to finish. Your job is to enjoy the day.
- •Plan for toasts. If you're doing champagne toasts, coordinate timing with your bartender so glasses are ready on cue.
After the Reception
- •Cleanup is covered. Your bartending service should handle breakdown and cleanup of the bar area.
- •Leave a review. If the service was great, a review helps other couples find the right bartender — and it means a lot to small businesses.
